Microsoft Exchange / Outlook

Microsoft® Exchange is a primary communications hub for large organizations. EMS works with Microsoft Exchange Web Services (EWS) to:

  • Provide user email and calendar information in EMS
  • Connect EMS meetings to Exchange resource mailboxes (Exchange Room Integration)

EMS also offers the EMS for Microsoft Outlook add-in, which provides one-click access to self-service room reservation and resource bookings from within the familiar Outlook interface.


G Suite / Google integration

G Suite Integration combines the scheduling power of the EMS platform with the convenience of Google. The G Suite Integration product line of three components (existing and planned) that integrate EMS and Google products.

Google Calendar Integration

Google Calendar Integration provides a direct connection with G Suite and your end users’ Google Calendars. EMS users can view attendee availability alongside space availability and add bookings directly to host and attendee Google Calendars. Google Calendar Integration is identical in function to our Exchange Integration described above.


Facilities management systems

The EMS Platform synchronizes the space inventory between your facility management systems and EMS, ensuring data accuracy across all systems and eliminating duplicate information and planning mistakes.


User account management systems

The EMS Platform syncs to your user account management or Human Resources Information Systems (HRIS) at your chosen frequency, keeping EMS up to date without having to perform manual maintenance. This integration provides timely updates of any new or altered user information and ensures the right users have the right privileges.


Video conferencing systems

EMS eliminates the complexities of scheduling video conferencing (VC) through a variety of integrations such as Skype for Business, Polycom, Cisco TMS, and Microsoft Exchange. With EMS, you can:

  • Select multiple endpoints, such as conference locations.
  • Auto-add equipment within a reservation.
  • Link VC as a resource to specific spaces.
  • Sync all bookings by time zone.
  • Create detailed VC Setup Worksheets for coordinators.
  • Automatically replicate reservations into your VC system.


Skype for Business

For everyday users who want a simple and more direct link to popular video conferencing tools, EMS offers one-click reservations through integration with Skype for Business. EMS offers the only commercially available Skype for Business integration for meeting and room scheduling software platforms.

When users book their own meetings through the EMS Web App and EMS Mobile App, a simple toggle of a switch makes EMS:

  • Add the Skype meeting information directly to the meeting reservation.
  • Invite any in-room Skype-enabled VC technology assigned to the meeting space (or select a mobile VC resource).

You no longer need to worry about connecting a meeting with the backend technology. At the meeting start, one click on the fixed or mobile technology starts the video conference. And if a user wants to join from their EMS Mobile App, a simple click opens the Skype for Business meeting app on their iPhone or Android phone.

Users can also add Skype meetings to their EMS reservations in Microsoft Outlook using both the EMS and Skype add-ins for Outlook.

Student information systems integration

EMS pulls course data from Student Information Systems (SIS) in order to facilitate room scheduling for courses. This bi-directional integration allows rooms assigned in EMS to be written back to the SIS. With EMS SIS integration, academic institutions can:

  • Pull course and instructor information from the SIS to create multiple scheduling scenarios.
  • Quickly publish selected scheduling scenarios for students and instructors to view.
  • Allow departments to collaborate online for a paperless planning process.


Building automated control system integration / HVAC

Unused space often has heating, cooling, and other utilities continually running — equating to a large, unnecessary expense. An integration with the EMS Platform helps organizations automate heating and cooling based on room usage and so reduce the costs from Heating, Ventilation and Air Conditioning (HVAC) systems.
